The flow (8-step lifecycle)

STEP 1

Sign-up & secure access

Create secure access. Users sign up using email and mobile verification. Multi‑factor authentication and recovery codes help keep access secure.

STEP 2

Choose onboarding type

Select the correct customer type: Individual, Sole trader, Australian company, Foreign company, Trust (regulated or non-regulated)

STEP 3

Complete the guided questionnaire

The form adjusts automatically depending on entity type, role, and relevant details. Industry templates are available for sectors such as real estate, legal, and accounting.

STEP 4

Upload required documents

Upload documents in one place. Customers upload documents in the platform (not email). The system supports photo ID checks, additional documents where required, liveness checks, and manual verification where necessary.

STEP 5

Run verification checks

Depending on configuration, Ratified can run checks such as sanctions screening, politically exposed person checks, adverse media searches, and registry/identity checks.

STEP 6

Request extra information only when needed

If risk indicators appear, Ratified asks for additional information and evidence (for example, source of funds and supporting documents) and records the outcome.

STEP 7

Review & approve

A reviewer can assess results, add notes, and approve the verification. All activity is recorded in an audit log and evidence is stored securely.

STEP 8

Issue a verification certificate + QR link

Once complete, Ratified issues a verification certificate that shows what was verified, when it was completed, and when it expires. Customers can share the certificate via QR code or a secure link.

What happens when a customer shares their QR code

When a customer shows their QR code, you can:

Confirm the certificate status (active, expiring, expired, or revoked)
Request supporting documents only if needed
Request vault access (view-only, time-limited, revocable, logged)
Document access is view-only by default, time‑limited, revocable, and fully logged for audit purposes.

Ratified maps ownership structures to identify the individuals behind companies and trusts.

A visual ownership view helps reviewers understand control and when extra checks may be required.

Ongoing Monitoring (additional subscription feature)

Monitoring runs separately from the original verification. The system checks for relevant changes such as sanctions updates, politically exposed person status changes, adverse media, registry updates, and ownership changes.

Built-in operational enablement

Risk Assessment + AML Program

Businesses can complete a profile in Ratified and generate:

a Risk Assessment document
an AML/CTF Program

Plus, transaction checklists and guidance.

Training (online)

Ratified provides digital training packs. Training completion is recorded and stored against the business record for governance and audit purposes.

Optional Compliance Support

For organisations that require additional assistance, Ratified can explore tailored guidance to help establish or refine AML/CTF processes. This support complements the platform but does not replace legal or regulatory advice. Compliance responsibility and decisions remain with your organisation.
